Make sure the right person hears the order

Put someone in charge of incoming orders

Keep the dashboard or Soko Store signed in for the correct store, allow notifications and assign a staff member to monitor orders during opening hours. An alert is a prompt to open the order; the order screen remains the place to confirm status, payment and instructions.

Prepare the person who will receive orders

  1. Choose one person to watch Orders for each shift, and name a backup for breaks.
  2. Sign in to the correct shop on the device they will actually use. Give an employee Order permission if processing orders is their job.
  3. Allow the device’s notification permission, keep a working internet connection and check that sound can be heard in the shop.
  4. Show them how to open an order from the list as well as from an alert. They should know how to read its time, products and payment status.
  5. At shift change, review pending, active and scheduled orders together. The next person should not have to guess which orders have already been handled.

If two devices alert for the same order, compare the order number. Two notifications do not mean two separate purchases.

Normal immediate COD delivery order, pendingThe store receives a new-order alert through its enabled channels when the order is awaiting store confirmation.
Successful non-COD order, confirmedA successful payment can bring the order into Confirmed and notify the store. Read the payment status before preparing it.
Pickup order, pendingA new-order alert can also be sent for an order the customer will collect at the shop.
Scheduled orderReview it in Scheduled orders. Do not expect the same immediate alert as an order for now. Scheduled orders appear in the Pending/Confirmed dashboard lists within 30 minutes of their time, including overdue ones; open Scheduled orders earlier to plan the work.
Employee order responsibilityStore employees can receive the store-order alert. Receiving it does not give an employee permission to open or process the order; assign Order access to the staff responsible.
Customer chat or other eventsEnable the corresponding available event in notification settings.

Delivery of a push, email or SMS depends on the channels configured by Soko and the device settings. This guide does not promise every event will arrive by all three methods.

When your rider is notified

Order assignment sends the rider the assigned order information. An assigned active rider can also be notified when the store moves the order to processing or handover, subject to enabled notifications. The rider should open the order, check pickup details and confirm the actual collection in the delivery app.

Do not assume every rider receives every new store order at the same moment as the vendor. Assignment, order stage, availability and notification settings affect what they receive.

Set preferences and check a missing alert

  1. Open Business settings → Notification settings in the dashboard.
  2. Review the available events and enabled push/email/SMS options. Turn on the channels your team uses where they are available.
  3. Allow app/browser notification permission and sound. Check the device’s silent mode, battery restrictions and internet connection.
  4. Confirm the employee has Order access and the rider is active, signed in and assigned where needed.
  5. Refresh Orders and inspect the scheduled list even if no alert sounded.
  6. If orders are present but alerts repeatedly fail, send support the order number, device/app used, time and which notification was missing.

At opening time, check the order list and connection. At shift change, hand responsibility to a named employee. Employee roles explains access.
