A role is a set of permissions

A role decides which parts of the store an employee can use. Create a role such as Order desk, select its permissions, then assign it to an employee. Staff can receive and process orders, manage products, answer chats and use the vendor dashboard or Soko Store according to their access and package.

Permissions are broad areas of access, not a promise of separate read-only and edit rights for every button. Start with the access needed for the job. Without a permission, the corresponding protected area is not available; granting another related permission may still expose related information inside that other workflow.

Create the role and employee

  1. In the dashboard, open Employee → Employee role/Custom role.
  2. Enter the role name and select the required areas. Avoid Select all for a narrow job.
  3. Save the role, then open Add new employee.
  4. Enter the employee’s name, contact details, image where requested, account details and role.
  5. Have the employee sign in through Store employee login, or employee login in Soko Store.
  6. Check that they can perform their assigned tasks in the correct store. Update the role or disable access when duties change.

The form adapts to the business category and enabled tools. Use the retail permissions visible for your shop; a role cannot unlock a feature excluded from the store’s package.

Check a new employee account before the first shift

  1. Keep the owner’s account separate. Give the employee their own login and tell them whether to choose employee login on the website or in Soko Store.
  2. Have them open the correct store and the areas needed for their job. An order handler should be able to find Orders; a catalogue assistant should be able to find Products.
  3. Walk through their routine together without making an unnecessary payment, refund or status change.
  4. Check that unrelated money and employee-management areas are not available unless you deliberately granted them.
  5. If an area is missing, review the assigned role and package before sharing your owner password. Have the employee sign in again after an access change and recheck.
  6. Agree who takes over at breaks and closing time. When someone leaves, disable their access and check any unfinished work they handled.

An order notification is separate from permission to manage orders. Employees may still receive alerts even without Order access. Do not use an alert as proof that the employee has the correct role.

Three practical starting roles

Order desk: Order and Chat, with Dashboard if useful. This person watches alerts, checks stock with the team, processes orders and coordinates the assigned rider.

Catalogue assistant: Item and Category. This person maintains pack sizes, images, barcodes, prices and stock. Add other access only when their work needs it.

Store manager: Dashboard, Order, Item, Category, Deliveryman/List, Chat, Store setup and relevant reports. Wallet, Wallet method, Employee and Business plan are deliberate owner decisions, not automatic additions to every manager’s role.

Limit finance access to authorised staff. Review wallet actions together before granting that permission.
